Terms & Conditions

Bookings & Refunds

The term is for 10 weeks and we ask that payment be made in full at time of booking. We run our classes right through the academic year, usually with a break for the month of August & around 2 weeks for all families over Easter & Christmas. Classes can be cancelled 10 days before the start of the course and a full refund will be issued. If a class is cancelled within 10 days of the start of the course then cancellation may be made via email for which a full refund will be issued minus a £25 admin fee per child, plus a deduction for any lessons within the 10 days. If you wish to cancel beyond 10 days into the term we regret that no refund will be issued.

Whilst we recognize that little ones are susceptible to colds & sickness, unfortunately we are unable to offer refunds for missed lessons.
We regret that we are unable to offer an alternative lesson when swimmers are unable to attend their allocated session. Catch up lessons/credits will not be issued when a swimmer misses their lesson.

What may seem like a simple request is an impractically huge administrative task when spread across hundreds of swimmers.

If we need to cancel a lesson for any reason, we will endeavor to inform you as soon as we can & shall make up the lesson at your convenience (usually we will add onto the last week of term)! In the event that we cannot offer a suitable slot we will offer a full refund of the missed lesson or use as credit against the future term.

We endeavour to offer consistent teaching however, realistically this is not always possible. Where we can we will inform you in advance so you can prepare your child for the change. We of course do understand if you choose not to attend a lesson with a substitute teacher although, we are not able to offer any refunds if this is the case.

Sickness & Broken Bones

Please do not bring your child swimming if they have any illness such as chicken pox, an ear infection, impetigo, diarrhoea, conjunctivitis or a bad cold. If your child is sick or has diarrhoea please ensure at least 48 hours before attending a lesson. If in doubt consult your maternal instinct or your GP. Please gain medical clearance before returning from any illness. Our teachers may refuse entry to the pool if they reasonably believe that your child is not well enough to participate in the session.

With broken bones and similar injuries being common place with little ones, We regret that unfortunately we are unable to offer refunds in this instance.

Swim Wear & Nappies

All babies & toddlers to the age of 3 years, regardless of whether they are toilet trained, MUST wear our double nappy system: A disposable nappy with a swim nappy on top. Swim nappies are available to pre-order in various colours & designs, 4 sizes at £12 each – (just send me an email with your little ones weight in pound or kilos 24 hours before the class). With respect, no child will be allowed to swim without their swim nappy. We will endeavour to have spares on poolside but please purchase in advance of term beginning. Whilst there are sanitation bins available in the changing rooms at Treloars we do ask that dirty nappies be taken home to be disposed of so as to not put additional pressure on the maintenance to our wonderful pools.

Health & Safety

Always adhere to pool rules at individual venues.No outer footwear or prams should be taken onto poolside or into changing rooms. Please use blue overshoes (if available) or go barefoot if you prefer.

Please always endeavour to shower both yourself and your child before entering the water. Removing body lotions, perfumes etc. before swimming contributes significantly to maintaining water quality.We ask that the little ones use the toilet & blow their noses before the start of the lesson in order to limit trips during the lesson.

When waiting for your lesson to start, we ask that you keep noise to a minimum so as not to disturb the active lesson.

You are responsible for the safe supervision of any children you bring at all times: on poolside, in the changing rooms and on the pool premises. They should always be under the direct supervision of an adult and never be left unattended. Fun Flippers reserves the right to ask anyone to leave the poolside at any time.

Please bring water to keep your families hydrated.

Please note that lockers are available. They are key operated & do not require coins. We cannot take responsibility for any damage or loss to belongings. Smoking is not permitted anywhere on any of our sites.

Any lost property found by staff, will be collected if found on site & held for 4 weeks – PLEASE do not contactthe schools directly, please contact [email protected] & we shall arrange collection for you if urgent, alternatively, items will be held until next lesson. Fun Flippers cannot accept any responsibility for the loss or damage of any personal possessions.

Photography

We regret NO photographs may be taken during lessons or inside our communal changing areas. Anyone seen to be doing so without written consent, will be removed from our swim school with immediate effect. Please contact us to discuss options if needed. During the summer term, we try to schedule in a time for a professional to come in & snap some underwater photographs of our little ones.

GDPR

All data collected will be done so in the interests of Health & Safety. We do not hold nor collect any banking details.

Your information will not be shared with any third parties. Your information is stored on ThinkSmart Software servers that are protected by multiple, redundant firewalls and intrusion detection and prevention systems that are regularly monitored and tested. 256-bit Secure Sockets Layer (SSL) data encryption is employed to protect all data access across the internet.

Once a student leaves our swim school your data will be deleted as per legal requirements.

Swimming during pregnancy

Swimming is a particularly good exercise, as the water helps to support your extra weight. This can be a huge relief, especially in the third trimester. And unlike some other forms of aerobic exercise, swimming helps you to feel cool. Swimming also helps to: improve circulation, boost heart & lung function, increase muscle tone & strength, reduce swelling & fluid retention, promote good sleep, fend off fatigue and helps to ease aches & pains.

We regret that we are unable to offer an alternative lesson when swimmers are unable to attend their allocated session. Catch up lessons/credits will not be issued when a swimmer misses their lesson.

Whilst we are duty bound to provide weekly of 30 minutes lessons over the 10 week term, there may be occasional changes to instructor which we aim to keep to a minimum, as we recognise the importance of consistency.
Unfortunately, we cannot give advance warning when this may happen and, whilst we always try to limit it, it is a necessary part of our commitment to quality.

Fun Flippers is under no obligation to refund lessons that may be missed due to local adverse weather when the venue and environments are safe and accessible and lessons are held. We regret that we are unable to offer automatic refunding or rescheduling of lessons in the event of adverse conditions local to yourselves, preventing you from attending a scheduled class.

Withdrawal of service

Fun Flippers may at its own discretion refuse entry to a client to its courses, if it is felt that the client’s behaviour or the behaviour of those associated with the client is unreasonable.

Can my baby swim before vaccinations?

NHS guidelines state that you can take your baby swimming at any time, regardless of whether or not they have had their injections. The health & safety testing required for the water in public pools makes the likelihood of transmitting infections very unlikely. The diseases against which your baby is inoculated, can not be transmitted in the chlorinated water of the public pool.

Learning to swim as a child or adult

Anyone can learn to swim at ANY age. We have all been given the ability to float & technique can be taught at any age. Swimming is hard to beat in terms of a full body workout. Because the water supports the body, it puts little strain on the muscles & is cooling & refreshing. Learning to swim brings very rewarding social benefits & is a skill that can be developed throughout life.

Changing your booking

Changing your booking is subject to availability, provided you do so more than 7 days from the start of the new term. You can also add additional days to your booking and will be charged at current price. Please contact our team if you wish to move your day as soon as possible so we can do our best to accommodate.

Changes to terms and conditions

From time to time, we may update our terms and conditions by sending you either an updated version or notification of minor changes. You are free to not accept these changes but we would ask you to notify us in writing of your non acceptance within 14 days of your receipt, failing which we will be entitled to treat our agreement with you as being subject to the updated version.

When you book with Fun Flippers, these Terms and Conditions and other information such as our Parents Guide and Policies and Procedures document define the agreement between us and let you know what to expect from Fun Flippers and what we expect from you.

Payments

Fun Flippers accepts payment by credit card, debit card and cash. We do not accept payment by cheque, Paypal or childcare vouchers. We ask that all invoices must be paid in full at least 7 days before camp start date, failure to do so may result in your child being unable to attend. Please email us if you wish to set up a payment plan.

 

Offers and Discounts

We offer a £5 sibling discount upon booking. The best available price will always be offered to you at the time of booking. Discounts cannot be used in conjunction with each other. Fun Flippers cannot apply discounts retrospectively and discounts must be applied at the time of booking.

Your child’s information

It is the responsibility of the person making the booking to ensure that all details provided are accurate, in particular full information about each child, including medical and other special educational needs, and emergency contact information. If we do not have all this information before camp starts, your children will not be allowed on camp.

 

Special requirements

Fun Flippers recognises that the needs of individual children vary, and will endeavour to accommodate children with specific needs and/or medical conditions within the camp environment. It is our policy not to exclude any child due to specific needs and/or medical conditions wherever possible.

It is the responsibility of the parent/carer to inform us of any medical conditions and special educational needs or disabilities, whether booking online or over the phone, so we can discuss how best to accommodate the child, and consider whether any reasonable adjustments can be made to ensure they are able to fully participate and enjoy the activities on camp within the staffing ratios provided for their age group. The needs of each child vary so decisions are made on a case-by-case basis and depend upon the level of support each individual child may require.

Where a child does require one-to-one support, Fun Flippers will permit parents/carers to attend camp to support their child, providing the Fun Flipperssafer recruitment standards are met. Fun Flippers do not provide one-to-one support during camp days.

 

Illness and First Aid

Fun Flippers requires that all children who are ill or infectious be kept home for the full duration of their ailment, and for 48 hours after the last symptom occurs. Fun Flippers will only administer medication if it has been prescribed by a doctor or other health professional.

In the event of an accident, first aid will be administered to children in our care, and the emergency services will be called if necessary.

Essential prescribed medication including Epipens must be handed in to the Camp Manager for safe-keeping. All Fun Flippers First Aid policies are in line with Ofsted recommendations.

Child Exclusion

Fun Flippers has a responsibility for ensuring the well-being and safety of all children in our care and have approved procedures for managing behaviour. The company follows a zero tolerance policy on discrimination, bullying and persistent poor behaviour of any kind, irrespective of any special needs. On rare occasions, and in more serious cases, we reserve the right to ask parents to remove children from camp either for the remainder of the day (part exclusion), or for the rest of the season (full exclusion). No refund will be made for any remaining days booked, and any costs associated with the exclusion will be the parents’ responsibility. We reserve the right to exclude a child at any time prior to or during a session due to illness. The parent/carer will be expected to come and collect their child.

 

Late Pick-up

All children MUST be collected by 4:30pm (unless timings are otherwise specified at time of booking). If for any reason you are unable to collect by 4:30pm, we ask that you call the Camp Manager or email our team as soon as possible. Two members of staff will wait with your child until they are collected.

 

Notice of Absence

If a child is not attending a scheduled day on camp, parents/carers must notify Fun Flippers team as soon as possible.

 

Personal Property

All your child’s personal property is your responsibility and Fun Flippers is not liable for any lost or damaged property on camp. If you believe that your child has left an item on site, please contact us as we will do best to assist you. The venue has a lost proterty box which can be accessed upon request.

 

Photography / Filming

We regret NO photographs may be taken during camps or inside our communal changing areas. Anyone seen to be doing so without written consent, will be removed from our camp with immediate effect. Please contact us to discuss options if needed.

Please be aware that Fun Flippers occasionally take photographs/video footage of children on camp for promotional reasons. If filming is due to take place, camp staff will inform all parents on arrival and your children can be opted out if you wish.

 

Parent Feedback / Complaints

If you have concerns or suggestions, please tell us; we value your feedback and use it to develop and improve our services. If you have a concern regarding camp, this can be raised with the staff on the day and via email to [email protected], [email protected] or [email protected].

 

Safeguarding

Fun Flippers has legal obligations in relation to safeguarding and any suggestion of child abuse or neglect will be investigated and reported to our regulator, Ofsted, or relevant local authorities and agencies.

 

Data Protection

Fun Flippers is registered as a Data Controller under the Data Protection Act 1998 (GDPR from 25th May 2018). To process your booking, we need to collect personal details about you and your children. We will treat it as confidential and keep it secure, complying with all relevant UK legislation. We will use your email address and telephone number to contact you with information that relates to any bookings that you make and any information that we might need that relates to the welfare of your child. We would also like to use some of your details to tell you about our products and services, and those of our parent/sister organisations and will ask for your consent during the registration / booking process. You may unsubscribe at any time.

The company follows a zero tolerance policy on discrimination, bullying and persistent poor behaviour of any kind, irrespective of any special needs. On rare occasions, and in more serious cases, we reserve the right to ask parents to remove children from camp either for the remainder of the day (part exclusion), or for the rest of the season (full exclusion). No refund will be made for any remaining days booked, and any costs associated with the exclusion will be the parents’ responsibility. We reserve the right to exclude a child at any time prior to or during a session due to illness. The parent/carer will be expected to come and collect their child.

Late Pick-up

All children MUST be collected by 4:30pm (unless timings are otherwise specified at time of booking). If for any reason you are unable to collect by 4:30pm, we ask that you call the Camp Manager or email our team as soon as possible. Two members of staff will wait with your child until they are collected.

Notice of Absence

If a child is not attending a scheduled day on camp, parents/carers must notify Fun Flippers team as soon as possible.

Personal Property

All your child’s personal property is your responsibility and Fun Flippers is not liable for any lost or damaged property on camp. If you believe that your child has left an item on site, please contact us as we will do best to assist you. The venue has a lost proterty box which can be accessed upon request.

Photography / Filming

We regret NO photographs may be taken during camps or inside our communal changing areas. Anyone seen to be doing so without written consent, will be removed from our camp with immediate effect. Please contact us to discuss options if needed.

Please be aware that Fun Flippers occasionally take photographs/video footage of children on camp for promotional reasons. If filming is due to take place, camp staff will inform all parents on arrival and your children can be opted out if you wish.

Parent Feedback / Complaints

If you have concerns or suggestions, please tell us; we value your feedback and use it to develop and improve our services. If you have a concern regarding camp, this can be raised with the staff on the day and via email to [email protected], [email protected] or [email protected].

Safeguarding

Fun Flippers has legal obligations in relation to safeguarding and any suggestion of child abuse or neglect will be investigated and reported to our regulator, Ofsted, or relevant local authorities and agencies.

Data Protection

Fun Flippers is registered as a Data Controller under the Data Protection Act 1998 (GDPR from 25th May 2018). To process your booking, we need to collect personal details about you and your children. We will treat it as confidential and keep it secure, complying with all relevant UK legislation. We will use your email address and telephone number to contact you with information that relates to any bookings that you make and any information that we might need that relates to the welfare of your child. We would also like to use some of your details to tell you about our products and services, and those of our parent/sister organisations and will ask for your consent during the registration / booking process.
